As an Administrative Support V, advanced administrative or specialized skills and knowledge to support procedures, practices and initiatives within the portfolio is key . The position provides professional/well-organized support for the Stollery Children’s Hospital Executive Directors (ED) office and reports to the Executive Administrative Coordinator of the Senior Leadership team. The role supports daily operations for the Executive Director’s portfolio. The role handles very confidential/sensitive information. Position is the point of contact when dealing with ED direct reports, provincial programs, external agencies, local/provincial/national/international contacts.
The incumbent will support the adjacent Stollery portfolios for purpose of coverage & intermittent assistance. Responsibilities include: Calendar Management-scheduling/coordination/maintenance; Organizing/filing/prioritizing incoming mail/email; Preparations for meetings (minutes, agendas, document preparation)/presentations/conferences; Coordinating travel/events; Drafting memos/reports, pulling/reviewing report specifics; Follow-up on key issues and actions, and manage document tracking; As AHS representative – professional etiquette/ respect of all people/ emulation of AHS’ Values; Monitor/coordinate responses to specific issues/initiatives/projects from initiation to completion; Liaise with BAS, HR & external partners on behalf of the ED; Identifies/gathers/compiles data requirements & metrics using various software; Compose/prepare written documents (Word/Excel/PowerPoint), business/financial letters/proposals/presentations & other independent correspondence with limited guidance for ED review prior to submission; Maintain knowledge of AHS & portfolio priorities/initiatives; Anticipate needs and bring people & resources to assist ED with resolution; other administrative tasks assigned.
